Main Responsibilities

1.Responsible for ship clearances with local authorities.
2.Perform Boarding Agency duties on board vessels in the Port of Manzanillo and/or Balboa.
3.Perform GSIS updates latest within one hour of vessel departure for BLB, Y8S and PNA ports.
4.Send daily updated vessel schedules to all relevant parties as new advice is received from vessels/others
5.Monitoring of Canal transits and vessels arrivals.
6.Prepare incoming/outgoing vessel documentation including but not limited to ship clearances, docking permit, ship clearance requests.
7.Serve as a mediator/translator/facilitator among the vessel, principals and the authorities
8.Prepare coversheets for all pertinent canal-bound and local calls
9.Prepare and send timely and accurately vessel prospects within 24 hrs prior vessels arrival.
10.Provide Husbandry services in a diligent and efficient manner including but not limited to crew, provisions and other related services
11.Coordinate crew changes including but not limited to visa preparations, transport, security, medical certifications, customs inspections, hotel and flight assignments and launch services.
12.Coordinate spare parts delivery and servicing with approved vendor.
13.Arrange for and coordinate deliveries of Cash to Master in a secured and efficient manner. Keep safe locked up at all times and exercise due care in handling same
14.Coordinate all bunkering services in accordance to established sound operational practices
15.Closely monitoring Outlook mail system to replay all messages related with your area of responsibility. Must be replied immediately. Outlook telexes to be used at all times to manage business adequately.
16.Responsible to coordinate on-time delivery of provisions, mail and parcel services.
17.Arrange for all crewmember’s medical attention including immigration procedures
18.Coordinate repairs whether programmed or not
19.Attend all other requests from the Captains and Ship Owners such as garbage disposal, sludge, charts, flags, water, inspections, certifications, etc.
20.Invoice coding for services granted to vessels in the port/husbandry/canal areas
21.Handling, disembarkation, immigration procedures and provisions in cases of stowaways found and prepare periodic reports on their status to head offices and vessel owners
22.ACP weekly bank guarantees
23.Petty cash administration. Forward same upon demand to Ops Manager for re-supply and approval
24.Maintain his most immediate Manager duly and timely advised of any significant developments
25.Make sure Captains comply with their pre-arrival files within 120 hours, for submitting them to the ACP thru the Electronic Data Collection System. Create Ship due, crew list, passenger list and Cargo declaration transmissions files and submit them throughout the ACP Internet system if becomes necessary to ensure ACP receives the required information within the deadline.
26.Make sure Captains comply with the ISPS procedures and regulations by sending the proper pre-arrival files to the Terminals and to the Panama Maritime Authority 48 hours in advance.
